Billing, cancellation, and refund policy
Business renewal, cancellation, resource charges, corrections, refunds, credits, chargebacks, and payment review.
Last revised: October 23, 2026
This Billing, Cancellation and Refund Policy ("Policy") applies to business subscriptions and payments under an accepted agreement with Solarius B.V. ("Solarius"). It is subject to the precedence established in that agreement, including accepted product terms, negotiated commitments, and stronger dispute safeguards. Where a transaction is subject to mandatory consumer law, the applicable withdrawal, conformity, refund, and cancellation rights remain enforceable irrespective of its description as a business purchase.
Purchases and renewal
Before acceptance, the purchase record shall identify the product, customer, price and currency, billing interval, quantities, included capacity, metered use, applicable taxes, renewal date, and fixed commitments. Recurring collection requires an express payment authorization applicable to that purchase. Publication of this Policy, account registration, or participation in a trial shall not by itself authorize a charge or paid conversion.
Renewal and price changes follow the accepted arrangement and product notice requirements. Policy edits cannot conceal renewal, retroactively increase consumed rates, or override prepaid fixed terms. Budget notifications and usage estimates are not necessarily enforced caps.
Cancellation and continuing resources
In Console, open Organization Settings → Billing → Subscriptions → Subscription → Cancel subscription. Review product, effective date, commitments, and resource effects, confirm, and retain the cancellation result. The cancellation guide explains completion states.
An authorized person unable to use the normal route can email help@solarius.me with organization and subscription before the applicable deadline. Solarius shall verify authority and honor a clearly communicated timely instruction; processing delay shall not manufacture another renewal. Contract-managed commitments use their accepted notice route.
Unless the accepted agreement or mandatory law provides otherwise, cancellation takes effect at the confirmed end date and prevents subsequent renewal; it does not rescind an already valid service term or extinguish an accrued lawful obligation. Personal deletion, member removal, agent uninstall, an empty project, and payment-method removal do not cancel a separate organization contract. An immediate closure needs its own explicit instruction and can shorten retrieval under the deletion rules.
Valid accrued charges and expressly accepted minimum commitments remain due. Retained backups, addresses, reservations, storage, and independent providers might require separate retirement. Solarius shall not charge for terminated service it does not supply except an agreed retained resource or requested transition. A narrow legal finance record does not justify continuing the entire subscription.
Refunds and credits
Except where the accepted agreement or mandatory law provides a refund right, voluntary cancellation, unused seats, or a change in business requirements shall not alone entitle Customer to repayment of fees for an accepted fixed business term. Solarius shall correct verified duplicates, calculation errors, unauthorized charges, and charges for unsupplied agreed service. Product prorated refunds, material-breach remedies, and mandatory consumer rights remain intact.
Service credits are subject to the applicable service-level agreement (SLA) and its valid claim conditions. A credit adjusts an invoice or account balance and shall not be represented as a cash repayment. Neither a credit nor a partial correction constitutes a release of an unrelated statutory or express remedy without a valid settlement agreement. Recovery for the same loss shall not be duplicated. Professional-work or reservation cancellation charges need an accepted lawful basis; there is no universal termination penalty.
A consumer's mandatory rights are not removed by a business nonrefund label. Any digital-service withdrawal exception requires its actual statutory conditions, prior information, and consent. This policy does not create that consent.
Submit invoice, payment reference, disputed line, dates, reason, and requested remedy through Organization Settings → Billing → Invoices → Invoice → Report billing issue or billing@solarius.me. The billing review guide gives response and escalation steps. Exclude full card details and bank authentication codes.
The decision shall identify the correction, refund, credit, or reasoned rejection. Approved repayment identifies amount, currency, original payment, route, and expected processing. Use the original method when feasible or a lawful verified alternative. Provider settlement is distinct from approval. A technical provider refund window does not extinguish a valid legal claim; regional handling might require another route, including mainland China payments.
Chargebacks and payment reversals
For recognizable invoice, cancellation, and service issues, contact billing first for direct resolution. Urgent fraud reporting, issuer deadlines, statutory disputes, and payment-scheme rights remain available without waiting for Solarius. A chargeback does not cancel renewal.
Report an open provider dispute with case number, amount, filing date, and reason. The invoice's Disputed state pauses retries for that payment; undisputed invoices retain their dates. Coordinate an open claim and any repayment so the same principal is not reimbursed twice. The available refund route depends on the provider's actual case state.
Solarius can contest a claim inconsistent with an authorized correctly billed purchase using necessary order, invoice, cancellation, access, and correspondence records. Evidence disclosure remains purpose-limited under the Privacy Policy. A reversed valid payment might leave a balance and justify limits on related new purchases.
Before restricting active service for a valid balance, billing must identify invoice, scope, remedy, and at least 5 business days to respond, or the longer product cure period. Urgent fraud or security action follows the terms. A reasonable promptly raised good-faith contested portion receives the applicable product protection; pay undisputed valid amounts. A dispute alone does not delete data, and Status retains its read-only and export boundary.
A payment reversal shall not, by itself, establish fraud, create an automatic flat penalty, or conclusively determine the underlying contractual debt. Actual nonrefundable provider fees require an itemized contractual and lawful basis. Deliberately false claims and duplicate-reimbursement attempts can justify proportionate action. Corrected principal must not be collected again.
Review and external rights
Use the original billing reference for missing facts or an unresolved outcome, then escalate to legal@solarius.me or the complaints procedure. These routes do not waive product remedies, payment-provider review, regulatory complaints, or court rights. A person need not accept an unrelated release to receive an approved correction.
